VACANCY: Accounts / Admin Assistant
An Accounts Admin Assistant is required at Upahaar School of Dance. This individual will
typically be expected to handle both day-to-day financial transactions and general office
administration, including customer service for parents and students, tracking attendance,
managing invoices, assisting with funding applications, exam related admin tasks and
programmes. This role is vital for maintaining the school's friendly and interactive
environment while ensuring professional operations.
Job Purpose
To oversee the financial administration, student billing, general office tasks as well as
liaising with the principal, faculty and marketing team, to ensure the smooth day-to-day
running of the dance school.
Key Responsibilities
• Financial Administration (Accounts):
o Invoicing & Payments: Handling student invoicing, tuition fee collection, and
issuing receipts. Following up on overdue accounts with parents.
o Bookkeeping: Tracking expenses, maintaining records, and assisting with
petty cash reconciliation.
o Funding applications: Typing out and assisting with funding applications and
also exploring new funding schemes.
o Exam/Uniform Fees: Processing payments for dance exams, performances,
and uniform orders.
o Banking / Admin console: Training in using the school’s in-house admin
console software, generating financial reports for the Principal.
• Office Administration & Customer Service:
o Communication: Managing the main inbox, answering phone calls, and
dealing with enquiries from parents, students, and staff. Acting as the first
point of contact through effective customer support.
o Data Management: Updating student databases, class registers, and teacher
contact lists, ensuring compliance with GDPR.
o Logistics & Scheduling: Assisting with uniform orders, class timetables, exam
scheduling, and event planning.

monitoring responses / enquiries on social media platforms, and assisting with
administering and collating feedback from events, as required by the
marketing team.
Person Specification & Requirements
• Experience & Qualifications:
o Previous experience in an accounts or administrative role, is essential,
preferably in an education or arts environment. Experience with accounting
software (e.g., Sage, Xero, or similar) is highly desirable.
o Strong written and spoken skills in English language. Also a general idea of
other Indian languages would be helpful.
o Proficiency in Microsoft Office (Word, Excel) or Google Workspace is
required.
o An Enhanced Disclosure (DBS check) will be required.
• Skills & Attributes:
o High Attention to Detail: Essential for accurate financial records and student
data.
o Customer Focused: Friendly, approachable, and professional demeanour, as
they are the first point of contact for parents.
o Organised: Able to manage multiple tasks and deadlines, such as termly
billing.
o Discretion: Ability to handle sensitive financial and student data confidentially.
Job Context
• Hours: Frequently part-time, ranging from a few hours a week to 15-20 hours (often
term-time only).
• Flexibility: The role hybrid or remote working options, with a requirement to initially
train in the use of the admin software at the main registered office and to also work
closely with the Principal / Head of School.
• Environment: Fast-paced, busy environment, requiring someone proactive.
